Payment Terms

We accept all major debit and credit cards including but are not limited to Visa Debit, Visa Credit, American Express, Maestro, MasterCard Credit and Mastercard Debit. We accept the payment services such as Apply Pay, Google Pay and Samsung Pay. In-studio card and contactless payments are processed through Elavon. Deposits and booking fee payments are processed online via AppointmentCore through Stripe. Gift voucher payments are processed via Infusionsoft through PayPal. All payment platforms are Payment Card Industry Data Security Standard (PCI DSS) compliant providers that use TLS (SSL) and HTTPS to ensure safe and secure payments processing.

 

Interest Free Credit Terms

Photographic Synergy offer interest free credit agreements for products purchased at the viewing of images. These agreements are repayable by no more than 10 instalments and within no more than 10 months. This service is to aid customers in their purchase of photographic products from Photographic Synergy, allowing them to spread the cost over time, where less than 12-months. Our credit agreements do not contain charges of any sort including administration charges and are interest free.

 

Refundable Booking Deposit Terms

Most photoshoots at Photographic Synergy are free but usually require a fully refundable deposit (“deposit” or “booking deposit”) to safeguard our time and effort, as well as ensure your commitment. Exceptions include Headshot Photoshoots that require a £25 non-refundable booking fee, Makeover Photoshoots that require a £50 non-refundable booking fee, Cake Smash Photoshoots that require a £50 non-refundable booking fee and Watch Me Grow Photoshoots that also require a non-refundable £50 booking fee per shoot. Our Family, Family and Pet, Pet, Children, Baby, Maternity, Cool K9 Competition and Cute Baby Competition Photoshoots all require a fully refundable £50 deposit at the time of booking. Our Newborn Photoshoots require a £100 fully refundable deposit at the time of booking. Both our Bump 2 Baby and Emma’s Dairy Photoshoots require a fully refundable £25 deposit at the time of booking. You may choose to use any deposit as credit towards products you wish to purchase, or Photographic Synergy can process the refund for you at the viewing. How quickly the refund shows in your bank or building society account depends upon your bank and their processing times.

 

Non-Refundable Booking Fee Terms

Makeover, Cake Smash and Watch Me Grow Photoshoots all incur a non-refundable £50 booking fee at the time of booking. In the case of a Makeover Photoshoot this fee helps cover the cost of our professional hair and make-up artist. In the case of our Cake Smash Photoshoot this fee helps cover the cost of the cake, bathing, and disposable decorations. In the case of our Watch Me Grow Photoshoot this fee helps cover the cost of 3 mounted prints and the Luxury Soft Touch Celebration Folder they receive after their three scheduled Watch Me Grow shoots. Headshot Photoshoots incur a non-refundable £25 booking fee at the time of booking.

 

Cancellation Policy

In terms of any booked photoshoot, we always require 72-hours’ notice of cancellation. If you cancel outside of 72-hours, we will happily fully refund clients or re-schedule their photoshoot without extra charge. If you cancel inside of 72-hours, we charge an additional fully refundable deposit or non-refundable fee to rebook, depending on the type of shoot you have booked with us. Any deposit refunds will be processed at the viewing in accordance with our “Refundable Booking Deposit” Terms above. 

Refund & Exchange Policy

Customers are obligated to ensure full payment is received by Photographic Synergy when studio orders are signed and dated. By the nature of our business each order is bespoke and personal to each customer. Once orders commence a full refund  may not be possible on the basis that our time and effort may have been invested to fulfil the order and bespoke orders may have been placed with suppliers and manufacturers.  Photographic Synergy cannot accept returns and exchanges because of the bespoke nature of each client’s order. If products are found to be incorrect or faulty, we will replace them ensuring our clients are always 100% satisfied. All Photographic Synergy products are British manufactured using the highest quality materials and automatically have a 3-year guarantee against manufacturer defects. 

Information We May Collect From You

Photographic Synergy is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using our website, on the telephone or face-to-face, then you can be assured that it will only be used in accordance with our privacy policy. Photographic Synergy only processes personal data for core business purposes which has been obtained with opt-in consent, in accordance with The Data Protection Act 2018 and the General Data Protection Regulation (GDPR). If you provide your personal information and give us permission, we will use your data to maintain e-mail, telephone, and offline contact with you. Be assured it will be used only to support your relationship with us. We take seriously the trust you place in us and will not sell, rent, or lease your personal information to others. This is in-line with UK data collection policy.

 

Gift Prize Terms

When meeting clients face-to-face we will often give out a gift prize as an incentive to bring customers into the studio for a shoot. It offers an opportunity for people to give us a try risk free. We provide a free shoot and a prize worth anything up to £250. All prizes are valid for 2-months from the date of issue, the date of issue being recorded as the date any customer provides us their contact details and expresses an interest in the services provided by Photographic Synergy. The date of issue will is often referred to as the ‘Lead Creation Date’. Only one prize may be used per family, per photo session booked. In the event of multiple families being photographed together in one studio shoot they will then come to one viewing, and only one prize may be redeemed at that viewing. Gift prizes may only be redeemed at the viewing. Customers may claim a gift prize without additional spend once per household only. We are a business and must safeguard our time and effort. Gift prizes cannot be exchanged for cash or any other vouchers.

Cute Baby Competition (CBC) – Win a £1,000 Canvas or Frame

Cool K9 Competition (CK9) – Win a £1,000 Canvas or Frame

1. By booking a Cool K9 Photo Shoot you get a high resolution digital image worth £175 totally FREE and have the opportunity to enter into a prize draw competition to win a £1,000 canvas or frame (i.e. the prize). You are also entitled to use the £1,000 as studio credit towards other products you might like (such as digital images), but this prize cannot be exchanged for cash, transferred to another person or another promotion.
2. For your chance to win the £1,000 canvas or frame you must choose the photo you wish to enter into the Cool K9 Competition on Facebook in your viewing, approx. a week after your photo shoot. This will be the same image you receive as the FREE high-resolution digital image, worth £175. Your chosen image will be uploaded to our Photographic Synergy Facebook. The challenge is to get others to visit Photographic Synergy Facebook page, like our page and then leave both “comments” and/or “likes” on your Cool K9 entry photo.

Willows Activity Farm – Member Benefit Offer

1. All Willows Activity Farm Members are entitled to redeem their Member Benefit with Photographic Synergy.
2. All member benefits are free of charge, only one benefit per membership. 
3. The offer is valid for 2-months from the date of redemption. Photoshoot bookings made within the first 4-weeks after redemption will receive an extra £45 studio credit. 
4. Member benefits cannot be exchanged for cash, transferred to another person or another promotion. 
5. To redeem a member benefit, you must provide your name, email and mobile telephone number using our website form.
6. You are only free to redeem the offer if you have not redeemed a member benefit in the last 12-months.

David Lloyd Leisure Ltd – Member Benefit Offer (i.e. Partner Exclusive Reward Scheme) 

1. Only selected David Lloyd staff are entitled redeem their partner exclusive rewards with Photographic Synergy.
2. All partner exclusive rewards are free of charge.
3. All partner exclusive reward vouchers are valid for 9-months, as indicated on the voucher.
4. Partner excusive rewards cannot be exchanged for cash, transferred to another person or another promotion. 
5. To redeem a partner exclusive reward you must provide your name, email, phone number and address using our ‘Redeem a Voucher’ web page (i.e. photographicsynergy.com/redeem-gift-voucher).
6. You are only free to redeem your partner excusive reward if you have not redeemed another in the last 12-months. If you have more than one exclusive partner reward you may not combine together within a single year.

Studio Reshoots

On the very rare occasion that a client should request a “reshoot” due to artistic or production reasons Photographic Synergy will endeavour to do everything in our power to ensure a successful outcome. However as with any artistic pursuits there may be factors outside of our control that prevent a satisfactory outcome for all concerned. We cannot promise or guarantee meeting all your personal or artistic preferences.

Any reshoot and subsequent time taken amending an order or liaising with suppliers will be chargeable at a minimum £95.00 for the first hour, and £50.00 thereafter for every minimum 30-minute interval deployed by Photographic Synergy staff. We will not deploy such resources until a detailed quote for such work has been accepted by the client in writing or by email and paid for in full, in advance.

 

Viewing Appointment – Credit Reward Offer

When you make an appointment for your viewing and keep to that original appointment date and time, we offer an extra £25 credit reward to spend as you like on any studio products. Our viewings are ordinarily free however we do charge a non-refundable £25 fee for ‘additional’ viewings if you need to reschedule another appointment. Additional viewings are exempt from our £25 credit reward offer, as are any Partner Exclusive Rewards. 

 

Image Copyright & License Terms

Photographic Synergy owns the copyright to all images taken at the studio and this never changes. We give customers full ‘license’ or permission to reproduce, print or socially share all and any of their purchased digital images as they wish. We provide high-resolution image files for you to reproduce large prints and low-resolution image files to share online socially or via email. We do not allow purchased images to be used for the purposes of advertising without our direct consent. Studio Order – Processing & Collection

Upon making an order in studio, your products or digital images will be prepared within 6 weeks for you to either collect or receive by online download. You will receive email confirmation once you order is ready to pick-up from the studio or download digitally online. We ask that you collect orders within 30 days, or we have to archive them because we have only limited storage at the studio. We charge a £25 administration fee to recover archived orders. USB devices may be posted out to customers upon payment of an additional postage and package fee.

 

Gift Voucher Terms

Expiry

All gift vouchers sold online by Photographic Synergy have a 9-month expiry date. They must be redeemed and used within these 9-months or the voucher becomes invalid and worthless. The photoshoots in respect of which gift vouchers may be redeemed are subject to availability. To avoid disappointment, we recommend that you book your photoshoot well in advance. 

 

Redemption

Please do not arrive at Photographic Synergy expecting to redeem your gift voucher without first redeeming it online using our website form and booking a date and time for your photoshoot. You will be sent instructions on how to redeem your voucher online and can do so here. Once redeemed online you can contact the studio or wait for our team to contact you to help book your photo shoot.

 

Refunds

We’re happy to make full refunds on any unused gift vouchers bought directly from Photographic Synergy website within 30 days of purchase. All refunds will be made to the person who purchased the voucher and they will be refunded directly via the original method of payment. Should this not be possible for any reason, the refund shall be issued by bank transfer. All refunds are processed at month-end and take between 5 and 10 working days to show in the purchaser’s account. Processing & Delivery

Once purchased online you will receive email confirmation and the vouchers will be automatically emailed to the email address you input at the point of purchase. Photographic Synergy can not be held responsible for the contact details and email address you input online. Please be careful to check and double check your contact details before you submit and purchase a gift voucher online. You are free to use the voucher yourself or gift it to someone else.  

 

Discount Codes

Discount codes are issued subject to availability and can be withdrawn without notice at any time. Only one discount may be used per order. Discounts can only be applied to internet orders online at www.photographicsynergy.com. Photographic Synergy reserves the right to stop discount codes being used against specific products. Some discounts are only available on selected products.
